Accounting system management (journal entries) & reporting: Inputting all your revenue and expenses into the accounting system as individual entries and categorizing them so that you can pull reports. These reports will give insight on your income, expenses and profitability.
Reconciliations: Reconciling bank statements and credit card statements against your invoices and expense receipts to ensure completeness and accuracy.
Year-End: Preparing a year end package for your accountant to enable them to perform an efficient and painless year-end.
Payroll: Managing your payroll payments and government payroll remittances.
Accounts receivable / Accounts payable: Managing your receivables (generating invoices, managing reminders and receiving payments) and your payables such as bill payments via an online service like Plooto.

How Our Services Work
You'll be working with a dedicated bookkeeping team, a primary bookkeeper and a backup. You'll be able to contact them on a schedule that you agree on.
Correspondence between you and the bookkeeper will be primarily done via email, but you can also arrange to set up calls or web meetings.
Our bookkeepers do their best work when they have uninterrupted time. This is why we recommend you set up meetings in advance as much as possible.
Hubdoc is the preferred way for you and your bookkeeper to share the documents (for security reasons). Hubdoc serves as the central database for the bookkeeping process.
If things aren't working well between you and your bookkeeper, you would contact Jonathan, and he would work with you to find a bookkeeper you like better.
- We make getting started with us is easy.
- We like to start with a virtual kickoff meeting using Zoom, a web-based meeting tool.
- We’ll then talk to you about your current bookkeeping setup, and we’ll try to create a solution specific to your needs and desires.
- You’ll have to complete some setup tasks and provide us with the necessary information, and then we’ll handle the rest of the process.

Frequently Asked Questions
How much do your virtual bookkeeping services cost?
We have compiled some sample packages as examples for you but to create a personalized plan for you we need to ask you which specific services you want, and we need to understand how many accounts and your volume of monthly transactions. We charge $55/hr for our bookkeeper’s services excluding software costs and transaction fees.
Where are your bookkeepers located?
Unlike some other bookkeeping services which use offshore bookkeepers, we prefer to work with Canadian bookkeepers.
Will I be able to get in touch with my virtual bookkeeper when I need them?
Your bookkeeper is always available by email. Contact them via email at any time, and they’ll respond as soon as possible, generally in no more than three hours.
Feel free also to set up a phone or virtual meetings if you want to discuss something.
How do I know your bookkeepers are qualified?
Our bookkeepers are certified from the Institute Of Professional Bookkeepers of Canada having the CPBTM certification. Some of them also have bookkeeping diplomas from recognized institutes as well, and we have one CPA on our team.
Can you file my sales taxes, HST, EHT or WSIB?
Yes, we calculate these tax returns and then file them on behalf of our clients.
Can you pay my corporate or sales taxes, HST, EHT or WSIB?
We can’t pay these taxes on your behalf. Unfortunately, you’ll have to pay yourself.
Can you file my corporate or personal taxes?
Unfortunately, we can’t file these returns, but we can introduce you to some of the best accounting firms to handle the taxes for you.
Can you manage my payroll?
Yes, of course. We use WagePoint or Quickbooks Payroll to handle payrolls, it costs $2/employee with a base fee of $20 per pay run. You can either add the payroll hours or send them to us and we’ll take care of setting up each pay run. The software will file and pay your salaries automatically. It will also submit the T4s and RoE to the CRA.
If late payments occur due to reasons beyond our control, we are not responsible.
Can you pay my bills for me?
Yes, we use Plooto to pay your bills. The bills are sent to Hubdoc, from there the payment goes to Xero and then to Plooto. A confirmation is then returned to Xero. Plooto has a cost of $0.50 per transaction and the payment gets deliver instantly if you pay in advance or in 3-4 days if you don’t.
How do you prevent errors?
We take the following steps to ensure that lowest number of bookkeeping errors occur in our services:
Transaction data is imported directly from your financial statements.
Data from different sources is cross-checked for errors.
Your bank feed goes directly into your accounting software. Discrepancies are detected and reported to the bookkeeper. The bookkeeper can then approve the data reconciliation.
Do you take on clients outside of Canada?
No, we will only be able to take you on as a client if your business is in Canada.
