So how do we work?

Our bookkeepers are based in Ontario, BC, and Alberta, so you'll be working with someone who understands bookkeeping rules for Canada. We work virtually, so you'll meet with us over Zoom.

  1. First, we need to get all your raw financial data (receipts, statements, invoices, etc.) into the document management and accounting software in an electronic format. We are experts in the various ways to do this and can guide you to the best approach for your situation.
  2. We'll start by asking you to connect your bank and credit card feeds to the accounting systems we use (like Dext, Xero or Quickbooks etc).
  3. Generally, most banks supply data feeds for only the last 90 days, but we'll take as much as we can get from a feed.
  4. Then we'll ask you to try to download CSV files of your transactions going back as far as you can.
  5. Then, we'll ask you to download PDF files of your statements going back as far as possible.
  6. We can use software to scan statement PDFs and convert them to CSV files, which we can then import.
  7. If you have online accounts that won't email you your invoice, you have the option of providing us a limited permissions login (where it's possible) so we can retrieve your invoices.
  8. After all that, you will have some remaining paperwork in a file. If it's just a few items, you can photograph them with the Dext mobile app.
  9. If there are more than you want to scan, you can courier them to us, and we'll scan them into Dext for you.
  10. Once we have all your documents in our systems, we will begin reconciling, organizing, and categorizing. We will list missing receipts and questions and send those to you at regular intervals. As you reply, we update and close out each month until you are caught up.
  11. If you need us to file HST/GST, we're happy to do that.

  • We start with a virtual kickoff meeting using Zoom, a web-based conferencing tool.
  • We ask you about your existing systems and how you do your bookkeeping, and then we develop an approach that delivers the right solution for your needs while keeping efficiency and cost in mind.
  • There are some setup tasks you need to complete (mostly providing information to us), and then we try to take care of the rest.

Here are some of the most frequent questions we get from our customer.

We charge a base fee that starts at $80/mo for clients with 4 or less hours/mo and scales up at roughly $18 per hour of services per month.  As an example, the base fee for a 10 hour/mo client is $170/mo. 

Our hourly rate is $55/hour for standard bookkeeping and $70/hr for time-sensitive payments and payroll. You will also pay for software costs.

We can give you an estimate once we see your data and can count up the number of transactions we have to process. 

You can email your bookkeeper at any time, and they’ll respond within a few hours.

You can also set up a phone call or a virtual meeting by emailing them first.

All our lead bookkeepers have a college diploma in bookkeeping and at least ten years of bookkeeping experience. If junior bookkeepers work on your file they are always supervised by a senior bookkeeper, a team leader and and oversight accountant.

Yes, of course. We calculate and file the taxes for you.

We will not PAY your taxes on your behalf. However, we can calculate these taxes, but you’ll have to pay them yourself.

No, we can’t file these tax returns for you. You’ll need an accounting firm for that and we can help you find a good one if you don’t already have one.

Yes, we use several services including WagePoint, QuickBooks Payroll and Knit People to manage your payroll. The software will pay your remittances automatically. T4s and ROE will automatically be submitted to the CRA.

However, we aren’t responsible for late payments which might occur because of insufficient funds in your account or you not approving the transactions on time.

Yes. Plooto is the bill payment app that we recommend. If you receive more than half a dozen invoices that need manual payments, the Plooto service can save you time and money vs. checks or email transfers.
